"I need a purpose-built software solution that lets our administration staff run every day-to-day aspect of a small letting agency from a single, secure interface. The team should be able to log in, add or edit information, and immediately see a clear picture of each property, landlord, tenant and every pound that moves through the books. These jobs are currently managed via the attached spreadsheet.

Core workflows the system must cover
• Tenant management – full tenancy records, contact details, documents and status tracking
• Landlord management – ownership records, communication log and statement history
• Property management – unit details, availability, maintenance history and linked tenancies
• Updates / Notes – searchable, date-stamped entries against any entity (tenant, landlord, property or transaction)
• Rent receipt management – log payments, allocate them to the correct tenancy, raise receipts and flag arrears automatically
• Money Held management – show deposits and any other client funds held in trust, with the current balance always visible

The interface will only be used by administration staff, so it can skip tenant or landlord self-service portals for now; what matters is speed, clarity and reliable internal reporting.
