Inventory Management with Categories

The system must have a comprehensive inventory system.

Inventory items should be organized into categories (e.g., "PC PARTS," "LAPTOPS," "ACCESSORIES").

This category system will be used to automatically apply category-specific warranty information to invoices and quotations.

Low Stock Alert: The system should alert the user when an item's stock falls below a predefined threshold.

Dynamic Invoice & Quotation Generation with Category-Specific Warranty

The system must automatically add a category heading to the invoice and quotation (e.g., "PC PARTS").

Below the category heading, a pre-defined warranty sentence must be included in the "Terms and Conditions" section of both invoices and quotations.

This warranty sentence should be specific to the product's category (e.g., "THE WARRANTY FOR THE PC PARTS IS OF 1 YEAR.").

The warranty sentence for each category must be fully editable by the user before the category is created and items are added.

Invoicing & Quotation System

Fully Customizable Templates: The software templates for invoices and quotations must be fully customizable. This includes the ability to design your own template by placing elements such as the company logo, item descriptions, tables for items, a dedicated terms and conditions section, and customer signature boxes. The placement of all fields, including the date and invoice number, should also be customizable.

An option to hide item prices and show only a total when needed in invoices and quotations.

The ability to convert a quotation directly into an invoice.

The system must show how much advance payment a customer has made on the quotation.

The terms and conditions for both invoices and quotations should be editable via a settings panel.

Tax and Discount Support: The system must be able to apply taxes and discounts to items and/or the total amount.

A4 Formatting: Both quotations and invoices must be designed to fit on a single A4 size page. The font size should dynamically adjust to get smaller if there is a large number of items.

PDF Output & Printing: The system must be able to generate a PDF of an invoice or quotation and provide an option to print it directly to a connected printer.

Customer Management

The system must save customers by their phone number.

When preparing an invoice or quotation, customer information is not automatically saved as a permanent record. It is a temporary entry.

A customer's information is only saved to the permanent records when a quotation is approved (i.e., when an advance payment is made) or when an invoice is created.

The system must allow searching for a customer's past invoices or quotations using their phone number or the serial number of an item they took.

Serial Number Management

Barcode Scanner Support: The system must have full support for barcode scanners to streamline data entry.

When an item from inventory is added to an invoice, a dialogue box should appear.

This dialogue box should prompt for the serial number(s) of the item.

If multiple units of the same item are added, the system should prompt for the corresponding number of serial numbers.

The serial number can be entered manually or by scanning a barcode with a barcode scanner.

The system should allow the user to bypass the serial number entry (e.g., by pressing the "Enter" key) for items that do not have a serial number.

Quotation Serial Number Option: There should be an option to add a specific serial number to an item on a quotation. This is for the scenario where a customer takes a physical item with them at the time of the quotation.

Real-Time Inventory Tracking

The system must track inventory levels in real-time.

When an item is sold or added to a quotation, the stock count should be updated immediately.

Inventory levels must be synchronized in real-time between the physical store and the online website.

Reporting

The system must have a reporting feature to provide business insights.

Top Performing Items: The system must generate a report showing the top-performing items based on sales.

Profit/Loss Tracking: The system must be able to track and report on the overall profit and loss of the business.

General System Requirements

Multi-User Support: The software must be accessible from multiple computers in the physical store, allowing three or more users to simultaneously create invoices and quotations. All data should be synchronized in real-time across all devices." (client-provided description)
