Project Description
I run a small but growing law firm named Just Legal, providing end-to-end legal services — from case filing to client consultation and compliance management.
I’m looking to hire a developer or small team who can build a custom CRM and accounting system tailored for legal practice, combining client management, accounting, and real-time performance tracking.
The solution should be a blend of:
• CRM features (leads, pipeline, and client relationship tracking)
• Accounting module (income, expenses, commissions, profit/loss)
• Dashboard (advocate and document-team performance, revenue tracking, case stages, and pending tasks)
• Case management (status, deadlines, progress, assigned staff, and stage updates)

Objectives
• Build a unified system to track clients, cases, leads, payments, commissions, and performance.
• Enable easy data entry for advocates/document writers (through forms or UI).
• Generate insightful dashboards (monthly revenue, profit/loss, team performance).
• Replace Excel/Access dependency with a scalable application (can be MS Access + Power BI, Web App, or hybrid — open to recommendations).
• Currently we use MS Access – Project Mangement Template 2016 Model. Most of the things are ready there itself.

Core Modules Required
1- Client & Case Management
• Add new clients with details, references, contact info, and linked cases.
• Assign advocates/document writers.
• Case tracking with current stage (Pipeline: Lead → Enquiry → Consultation → Active → Paid → Closed).
• Case summary view (documents, fees, notes, deadlines).
• Auto-update stage and reminders.
2 - Lead & Pipeline CRM
• Capture leads from multiple sources (Facebook Ads, WhatsApp, walk-ins, referrals).
• Lead funnel tracking: New → Contacted → Consultation → Converted → Closed.
• Lead source attribution (who referred the client).
• Commission automation (referrer commissions auto-calculated).
• Notifications for follow-ups, callbacks, and missed leads.
3- Accounting & Financials
• Record all income and expenses (linked to client/case).
• Track payments received, commissions paid, advocate payouts, and other expenses.
• Auto-calculated Net Profit / Loss with filters (by month, by advocate, by client).
• Category-wise reports: Tools, Design, Commission, Court Fees, Stationery, etc.
• Export to Excel / PDF.
• Optional GST or tax report generation.
4- Dashboard & Analytics
• Interactive dashboard summarizing:
o Total Income / Expenses / Net Profit
o Advocate performance (fees earned, clients handled, success rate)
o Document-team performance
o Leads converted per source (Facebook, WhatsApp, Referral, etc.)
o Case distribution by type and stage
o Pending or overdue cases
• Drill-down filters (by date, case type, team member, client).
• Visual charts and KPIs.
5- Team & User Roles
• Advocates, Document Writers, and Admin roles.
• Access-based permissions (e.g., advocates can see their cases only).
• Option to add new team members in future.
6- Reports & Automation
• Profit & Loss Report (Monthly / Quarterly / Yearly).
• Outstanding payments & commission summary.
• Client Statement / Ledger.
• Lead Conversion Rate report.
• CSV / Excel / PDF export options.
• Option for email alerts or WhatsApp notifications (in next phase).

Technical Preferences (Flexible)
• Preferably in Microsoft Access + VBA + Power BI for local deployment (existing Access structure available).
• Or in Web-based stack (Laravel / Django / NodeJS + React / Angular).
• Database: MS Access / MySQL / PostgreSQL.
• Should support future migration to cloud.
• Clean UI with intuitive navigation and filters.
• Mobile-friendly dashboard (optional).

Existing Setup & References
• I already have a working MS Access structure with all base tables (Clients, Income, Expenses, Advocates, Documenters, PipelineStages, Services).
• I can share the .accdb file and schema exports for faster onboarding.
• The developer can either extend the Access version or rebuild as a standalone CRM system with the same logic.

Deliverables Expected
1. Fully functional application with:
o Forms/UI for data entry (clients, income, expenses, leads).
o Dashboard for performance & P&L view.
o Reporting module.
2. Documentation of tables, queries, and macros used.
3. Backup/export feature (Excel/CSV).
4. Support for initial setup, testing, and basic training.
