1. Overview
The Fursah Management Platform is an integrated solution within the Microsoft ecosystem, designed for a small-to-medium training institute to manage the complete sales lifecycle, project delivery, financial tracking, and performance reporting.
The platform uses:
Dynamics 365 Sales for CRM and opportunity management.
Microsoft Dataverse as the unified data layer.
SharePoint Online for structured document storage.
Power Automate for process automation.
Power BI for real-time analytics.
The goal is to deliver a seamless, automated sales-to-delivery process that is scalable, efficient, and provides real-time visibility to decision-makers.
2. Objectives
End-to-End Process Tracking – Manage opportunities from lead generation to closure.
Automation – Automatically create projects, folders, and links when opportunities are won.
Financial Control – Track invoices, expenses, VAT, WHD, and Zakat.
Centralized Documentation – Organize all opportunity and project files in SharePoint.
Real-Time Reporting – Enable sales, project, and finance dashboards in Power BI.
Security & Compliance – Implement role-based access and auditing.
3. System Architecture
Dynamics 365 Sales – Opportunity, account, and contact management.
Dataverse – Stores opportunity, project, financial, and partner data.
SharePoint Online – Library for structured document storage.
Power Automate – Handles workflow automation for folder creation, project setup, and notifications.
Power BI – Connects directly to Dataverse for reporting and KPIs.
All components are tightly integrated using standard Microsoft connectors to ensure data consistency and automation reliability.
4. Core Functional Components
4.1 Opportunity Management
Naming convention: FUR-### format.
Sales stages: Lead Generation → Prospecting → Qualification → Proposal → Negotiation → Won Sale → Lost Sales.
Conditional fields based on source:
Direct Sales → “Direct Sales Lead” field.
Referral → “Referral Provider” field.
Subcontracting → “Subcontracting Partner” field (mandatory).
Lost Sales must include a reason.
Linked to Accounts (clients) and optionally Products.
4.2 Project Management
Automatic project creation when opportunity is marked “Won Sale.”
Project phases: Initiation → Planning → Execution & Monitoring → Closing.
Each project is linked back to its originating opportunity.
Project manager assignment on creation.
4.3 Financial Tracking
Cash In: Payment amount, VAT, total invoice value, status, estimated Zakat, and due dates.
Cash Out: Recipient, cost, VAT, total cost, payment date, and status.
Automatic VAT calculation at 15%.
Optional WHD and Zakat fields for reporting.
4.4 Document Management
Automated SharePoint folder creation upon new opportunity creation.
Folder name: “FUR-### – ClientShortName – ProjectName.”
Opportunity folders contain: RFP, Financial Proposal, Technical Proposal, Communications.
Project folders contain: Kick Off, Planning, Vendors, Deliverables.
SharePoint folder URL stored in the Dynamics record.
4.5 Reporting & Dashboards
Sales KPIs: Pipeline by stage, win rate, source performance, representative performance.
Project KPIs: Active projects by phase, overdue deliverables, budget vs. actuals.
Financial Reports: 12-month rolling cash flow, forecast vs. actual revenue, Zakat projections.

Trigger: New opportunity created in Dynamics 365 Sales.
Actions:
Generate FUR-### code.
Create SharePoint folder in “SalesDocuments” library.
Create subfolders: RFP, Financial Proposal, Technical Proposal, Communications.
Save folder URL in “Project Folder URL” field.
5.2 Opportunity Won → Project Creation
Trigger: Sales Status changed to “Won Sale.”
Actions:
Create project record linked to opportunity.
Set status to Initiation.
Create “Project” subfolder under opportunity folder.
Add subfolders: Kick Off, Planning, Vendors, Deliverables.
Notify Project Manager via Teams and email.
