Build a Notion-Based Student Management System for JEE Coaching Institute

Project Description:

I am looking for an experienced Notion expert to design and set up a structured student management system in Notion for my JEE coaching institute (Spectrum – JE2077 batch). The system should be clean, easy to use, and scalable, allowing me to manage student information, test performance, mentoring visits, and general remarks efficiently.

Scope of Work:

• Create a main Students database where each row represents one student
• Include student details such as name, batch, class (11/12/Dropper), school, phone number, parent phone number, strengths, and weak areas

• Create a separate Tests database linked to the Students database
• Each test record should belong to one student
• Store test details including test name, date, type (weekly/part/full), total marks, Physics marks, Chemistry marks, Maths marks, number of questions attempted, correct answers, negative answers, accuracy percentage (formula-based), topics with negative marks, and test-specific remarks

• Create a General Remarks database for long-term qualitative observations such as behaviour, consistency, effort, and discipline, linked to each student

• Create a Mentorship / Visits database to track counselling or mentoring interactions, including visit date, discussion summary, advice given, action items, and next visit date

Student Profile Requirement:

• Clicking on a student name should open a dedicated student profile page
• Inside the student profile, I should be able to see:
– All linked test records
– All general remarks
– All visit/mentorship records
• All linked sections should be automatically filtered to the selected student
• A reusable student page template should be created

Requirements:

• Proper use of Notion relations and linked databases
• Simple and intuitive layout for daily use
• Ability to add tests, remarks, and visits directly from the student page
• Scalable structure suitable for 100+ students
