Requirement Description
1. Customer & Patient Management
The system must allow capturing and managing customer/patient profiles, contact info, medical history, allergies, and doctor notes. QR-based data entry should be supported.
2. Treatment Booking & Session Management
Users should be able to book single or multi-session treatments, assign rooms and therapists, and configure payments (full or partial). System should validate availability and track booking status (Scheduled, In Progress, Completed, Cancelled, Rescheduled).
3. Therapist & Staff Management
The system should support therapist profiles, shift scheduling, check-in/out tracking, absence handling, and performance metrics. Therapists may be permanent or visiting. Each therapist should have a defined hourly rate and commission percentage per treatment.
4. Commission Calculation
The system must calculate therapist commissions based on the specific treatment provided. Commission = (Session Price × Commission %) and should vary per therapist and treatment type. These values must be configurable and included in cost/profit reporting.
5. Dashboard & Basic Analytics
Management should have access to dashboards showing sales (cash/card), treatment and product performance, therapist attendance, and gross profit. Dashboard should support real-time filters and export functionality.
6. User Roles & Permissions
The system must restrict access based on user roles (Admin, Therapist, Doctor, Cashier, Manager) with role-based dashboard visibility and action controls.
7. Loyalty Program (Basic Tiering)
Customers should earn loyalty points on purchases and be automatically promoted to Gold or Platinum tiers based on spending/session thresholds. Tier benefits and thresholds should be configurable.
8. SMS Notifications
The system must send automated SMS alerts for session reminders (24 hrs, day-of, 1-hour prior), loyalty updates, birthday discounts, and wellness tips. Integration with local SMS gateways is required.
9. Financial Tracking (Basic)
The system must track revenue from each session and calculate session-level gross profit using: (Session Revenue – Material Cost – Therapist Cost – Commission – Location Hourly Cost – Extras). Reports should be available by date range.
10. Doctor Consultation Setup
Sessions that include consultations must allow assignment of doctors with 10–15 minute slots. Doctor must be able to input patient history, treatment notes, and prescriptions.
11. Master Data Management
Admins must be able to manage master data tables: Treatments (with pricing, duration, material cost, session count), Rooms (equipment, availability), Doctors (profiles, schedules), and Therapists (rates, commission)." (client-provided description)
